An assistant that answers confidently without showing its source is worse than no assistant, because it is faster to be wrong. The design decision that makes these systems usable in a business is that every answer links the document and passage it came from, and that the system declines to answer when it cannot cite. Staff stop having to decide whether to trust it; they can check it in two seconds.

The second design decision is permission-aware retrieval. A naive implementation indexes everything and answers from everything, which means an HR investigation file can surface in an answer to someone in the warehouse. Proper implementation maps your existing access controls into the index and filters retrieval before generation, so a person can only receive answers from documents they were already allowed to open. We test this explicitly during rollout with deliberately probing questions.

Accuracy is the third, and it is the one most vendors leave unmeasured. We build an evaluation set from questions your team actually asks — collected during the source inventory, not invented — and measure how often the system retrieves the right passage. That number is reported before launch and tracked afterwards. Without it, 'it seems to work' is the only available assessment, and it is not one you can act on.

For firms with PIPA, PIPEDA, or contractual data-handling obligations, hosting location is not a detail. Canadian data residency is available, and we confirm the arrangement in writing before a single document is ingested, because retrofitting a residency requirement after indexing means starting over.

How much does it cost?

Does our data stay in Canada?

It can. Canadian data residency is available at Enterprise tier for organisations with PIPA, PIPEDA, or contractual requirements. We confirm the hosting arrangement in writing before any data is ingested.

Can it accidentally show someone a document they should not see?

Permission-aware retrieval at Pro and Enterprise maps your existing access controls into the index, so retrieval is filtered before an answer is generated. We test this explicitly during rollout.

What happens when documents change?

At Pro and Enterprise the index updates automatically as files change in Drive, SharePoint, or email. At Basic, re-indexing is scheduled.

How do we know the answers are accurate?
